Group travel to Scandinavia: a planning checklist for tour operators

Dates, coaches, guides, entrances and meals. The points we check with every partner before a group arrives in the Nordic countries.

Good group travel depends on details that are agreed well before arrival. This is the checklist we go through with tour operators, travel agencies and cruise lines when we plan a programme in Scandinavia.

1. Dates and season

Summer is the busiest season, with long days and many cruise ships in port. Confirm dates early, especially for June to August, and check local holidays that can affect opening days.

2. Group size and transport

The number of travellers decides the coach size, the number of guides and how entrances are split. Share the final number and any travellers with reduced mobility as soon as possible.

3. Guides and languages

Agree on the language for each guided visit and whether the same guide should stay with the group for several days. In Stockholm, authorised guides add depth to the main sights.

4. Entrances and time slots

  • Pre-book museums and palaces with fixed time slots.
  • Plan buffer time between visits, especially in the old towns where coaches cannot always stop at the door.
  • Check special opening rules for official events at royal palaces.

5. Meals and dietary needs

Collect dietary requirements with the rooming list and confirm group menus in advance. Restaurants in the city centres often need several weeks’ notice for large groups.

6. Hotels, transfers and cruise timing

Choose central hotels when the programme includes walking tours, and align transfers with flight and cruise schedules. For shore excursions, the programme must bring every guest back on board on time.

7. One point of contact

A single contact for all four countries makes changes faster and keeps everyone informed. See our services for groups or request a quote.
